Who is responsible for your information

Theos X Ltd, a company registered in Malta with company number C117139, registered office Add Malta Level 2 Hardrocks Business Park, Triq Burmarrad, NAXXAR, NXR 6345, Malta, is the controller of the personal information described here. What we collect and why

When you order, we collect your LinkedIn profile link, your name, your email address, your time zone and the time you confirmed that the profile is your own. We use these to prepare your scan, deliver your report at a sensible time for you, and keep a record of your confirmation. The legal basis is the contract you enter into with us. You need to give us your name, email address and profile link to order. Without them we cannot prepare or deliver your scan.

If you tick the box to hear from us, we record when you agreed. We use it to email you about the LinkedIn Untold series and other free workshops and resources. The legal basis is your consent, which you can withdraw at any time using the unsubscribe link in any email or by writing to us.

When you pay, Stripe processes your payment. We receive confirmation that you paid, with the name and email address used at checkout. We never see your card details.

If you start an order but do not pay, we may send you up to two reminders about that order. Each one lets you opt out. The legal basis is our legitimate interest in helping you finish an order you started.

If you email us, we keep your message and our reply so we can deal with your question. The legal basis is our legitimate interest in answering you.

When you visit this website, Cloudflare processes technical information such as your IP address and browser type to deliver the pages and protect the site from abuse. We do not use analytics or advertising trackers.

Where your profile information comes from

We only look at the LinkedIn profile at the link you give us. A person on our team reviews it by hand, viewing only what is publicly visible on your profile and your last 30 posts. We never ask for your LinkedIn login, and we do not use automated scraping tools.

How your report is prepared

A person on our team prepares your report with the help of our scoring system. We make no decisions about you based only on automated processing that have legal or similarly significant effects on you.

Who we share it with

• Stripe, which processes payments.
• HeyClients, a service built on HighLevel, which holds our customer records and sends our emails.
• Cloudflare, which hosts this website, checks that the order form is used by a person, and stores your report.
• Members of our team who prepare scans, including a contractor based in Nigeria.
• Courts, regulators or other authorities, where the law requires it or where we need to protect our legal rights.
• A buyer of our business, if it is ever sold. The buyer would have to use your information in line with this notice.

We never sell your information.

Transfers outside Europe

Where your information is transferred outside the European Economic Area, including to our contractor in Nigeria, it is protected by the European Commission’s Standard Contractual Clauses. Some of our providers, such as Stripe, HighLevel and Cloudflare, may process information in the United States. Where they do, the transfer is covered by the EU-US Data Privacy Framework or by Standard Contractual Clauses.

Keeping it safe

Only the people who need your information to prepare your scan or run the service can see it. We use providers with appropriate security measures, and your information travels over encrypted connections.

How long we keep it

• Your report and the profile information gathered for it: 90 days after delivery.
• Order and payment records: as long as tax and accounting law requires.
• Your marketing consent: until you withdraw it. After that, we keep your email address on a list of people not to contact, so that we respect your choice.

Cookies

This website sets no cookies. Cloudflare Turnstile runs on the order form to check that it is being used by a person rather than an automated program. To do this, Cloudflare checks your connection, including your IP address. While you fill in the order form, your browser keeps your profile link in temporary session storage, which is cleared when you close the tab.

Your rights

You can ask to see the information we hold about you, correct it, delete it, restrict or object to how we use it, or receive a copy to take elsewhere. Where we rely on your consent, you can withdraw it at any time. This does not affect anything we did before you withdrew it. Email hello@yourprofilescan.com and we will reply within one month. We may ask you to confirm your identity before we act on a request.

You can also complain to the Information and Data Protection Commissioner in Malta, or to the data protection authority where you live.

Changes to this notice

If we change this notice, we will update this page and the date at the top and, where the change matters to you, tell you by email.
